IGO Zoom Accounts
Using the IGO Zoom accounts
We have four Zoom accounts which can be booked by group leaders for their groups.

This email address is being protected from spambots. You need JavaScript enabled to view it. to book slots, giving the group name, dates and times of the required meetings. If that slot is available, the meetings will be booked until the end of the year, or the end of the next year. Most slots are available, but if the requested slot is not free in any of our accounts, the group leader will be asked to choose a different slot. Meetings can be booked monthly (e.g. 2nd Monday), twice monthly, (e.g. 1st and 3rd Tuesday), or weekly, (e.g. Wednesday). They can last as long as required (within reason). - Meetings are booked until the end of the current year, or the end of the next year when the end of the current year is near.
- Links to meetings are sent to the group leader(s). The group leader should send this to group members.
- An IGO Zoom bookings diary is sent out each month with the group leaders' bulletin, and group leaders are advised to check this to ensure that their booking is in place. Zoom Acc1 only allows one meeting to run at a time. The other three accounts allow two meetings to run concurrently.
- Meetings are set up so that everyone can join 15 minutes before the official start time.
- Meetings do not normally have a host but you can use the Host Code, which is sent to all group leaders using IGO Zoom account. To gain Host control – see instructions below.
- There is a 30-minute gap between consecutive bookings. This allows 15 minutes of grace for ending a meeting. It is essential that your meeting is closed no later than 15 minutes after your allotted end time. If you have host control, you can close the meeting. If not, you should remain until everyone else has left the meeting and then leave yourself. Failure to close the meeting means that the next meeting will not be able to take place, and there is no way the group leader can alert you to do this. Zoom does not, unfortunately, close meetings at the end of the allotted time.
Using the Host Key
The Host Key will be sent to you as group leader.
Here are the instructions for using the Host Key to host a meeting.
Windows/macOS/Linux
Click the Participants Icon at the bottom of the screen. Claim host may be listed at the bottom of the screen. If not, click the three dots which will show Claim host. Enter the host code and click Claim Host.
Android/iOS
Tap More... in the meeting controls. Tap Enter Host Key Claim Host. Enter the host code and tap Enter. You will then have host control of the meeting, which will allow you to mute members, set up break-out rooms, and remove a member in the unlikely event that this is necessary.
