Why a Group Leaders Bulletin?
We send this out once a month to keep you informed of any changes you need to know about, and also to send Calendars which you may need to check. In this way, we keep down the number of emails you get from us, as a group leader.
Every month, we get a few emails from group leaders asking for information which has already been provided in that month’s GL bulletin. Here are two items that you may find useful.
- Beacon calendar. Your group meetings will only be listed in the Beacon calendar if you, or someone else in the group who has Admin access to Beacon, enters them using the Schedule tab in your group entry in Beacon. If you want to add them, you will find information about how to do this here. We don’t need to be told that they are not listed.
- IGO Zoom calendar. This lists all the Zoom meetings booked on IGO Zoom accounts for the month. If you are unsure about your booking, please check this calendar before contacting us. If it is not listed or there is an error, then you should contact us immediately.
Standard messages in Beacon
This facility is very useful. You can use it to create a message which you need to send out regularly, e.g. welcome to new members, or meeting reminders. When you save a standard message, please preface the name you give it with your initials, for example, “CW Welcome to the Irish Music group”. If you have an existing message which is not labelled in this way, please re-save it, adding your initials at the beginning of its name. You cannot, however, delete messages.
We have a lot of messages which have no indication of who they belong to, and some which are clearly out of date, e.g. “welcome to the XX meeting, October 2023”.
We plan to tidy up the message box by deleting all messages which are not initialled by the owner, starting on the 1st March. We will also delete any obviously out-of-date messages as above.
IGO Fair
This is taking place on 11–12 February. The timetables and Zoom links to all the events were sent to all IGO members in January’s News Extra. I’m attaching the file again in case you have mislaid it.
Beacon Calendar
The Beacon calendar for February is attached – see message above.

Note that group meetings, which are timetabled for every second week, are booked every week in the Zoom account. This is because a bi-weekly meeting block that slot to monthly and bi-monthly meetings, and it is easier for me to ensure I don’t double-book if I fill the slot every week.
Generic Zoom calendar
I haven’t included this because, with our fourth Zoom account, every slot is available. So if you want to change the time of your meeting, or move from your own Zoom account to an IGO account, it will be possible at any time you want.
